Frequently asked questions

What exactly is the Birth Certificate?

It is an official document issued by the Civil Registry that certifies a person's birth, including essential data such as full name, date and place of birth, parentage (parents' names), and registry data (volume, page, number).

It is the fundamental documentary proof of your legal existence and the basis for obtaining other identity documents such as ID or passport.

What procedures do I need the Birth Certificate for?+

It is essential for multiple official procedures:

  • Obtaining ID or passport for the first time
  • Getting married (civil or religious)
  • Spanish nationality applications
  • Managing inheritances and successions
  • Enrollment in educational centers
  • Adoption procedures
  • Applying for pensions and social benefits
  • Consular registration abroad
Can I request the birth certificate online?+

Yes, it is currently possible to manage the birth certificate completely online without the need to travel to the Civil Registry.

Our service processes your application with the corresponding Civil Registry and sends you the official certificate to your home or by email, as you prefer. The entire process is done digitally and securely.

How long does it take to issue the certificate?+

The usual issuance period is 24 to 48 business hours from when we receive your complete application.

In exceptional cases where the inscription is difficult to locate or the Civil Registry has a higher workload, it may extend to 7-10 business days. If you need a Hague Apostille, 2-3 additional days are added to the process.

We keep you informed at all times of the status of your procedure.

What is the difference between literal and multilingual certificate?+

Literal Certificate: Includes all data from the original inscription in Spanish. It is the standard format for procedures in Spain (marriage, inheritances, ID, etc.).

Multilingual Certificate: Standardized European format that includes information in several languages. It is valid in countries of the Vienna Convention without the need for official translation, ideal for international procedures within Europe.

What is the Hague Apostille and when do I need it?+

The Hague Apostille is an international certification that validates Spanish documents for use in foreign countries signatory to the 1961 Hague Convention.

You need it when you are going to present your birth certificate in countries such as the United States, Canada, Mexico, Argentina, Australia, or any other country outside the European Union.

We manage the apostille in an integrated way with your certificate, without additional procedures on your part.

Can I request the birth certificate of another person?+

Yes, you can request the certificate of third parties in the following cases:

  • If you are the parent requesting for a minor child
  • If you are a legal guardian with documentation proving it
  • If you have a specific notarial power of attorney for this procedure
  • If you are a spouse and the certificate is for joint procedures

In some cases, we will request additional documentation proving your authorization to request the certificate.

What data do I need to request the certificate?+

To locate your inscription at the Civil Registry, we need:

  • Full name of the registered person
  • Date of birth
  • Municipality and province where the birth was registered (usually where you were born)
  • Parents' full names

If you know the registry data (volume, page, number), they facilitate the search but are not essential. If you do not remember any exact data, our team will help you locate it.

Does the certificate have limited validity?+

The birth certificate itself does not expire, but many organizations require it to have a recent issuance date:

  • For marriage: less than 6 months old
  • For nationality procedures: less than 3 months old
  • For other official procedures: generally less than 6 months old

That is why we recommend requesting it when you really need it, not too far in advance.

What if I was born abroad but have Spanish nationality?+

If you were born abroad but have Spanish nationality, your birth inscription should be at the Spanish Consular Civil Registry of the country where you were born, or at the Central Civil Registry in Madrid.

We can manage your certificate equally, but we will need you to indicate at which Spanish consulate your birth was registered. If you do not know, we help you locate it.

Is it safe to send my personal data online?+

Absolutely. We use bank-level encryption systems (SSL/TLS) to protect all the information you send us.

We strictly comply with the General Data Protection Regulation (GDPR) and Spanish data protection regulations. Your data is only used to manage your application and is never shared with third parties without your express consent.

Additionally, all our staff are subject to strict confidentiality protocols.

Can I request several copies of the same certificate?+

Yes, you can request up to 3 official copies in a single procedure. This is useful if you need to present the certificate to several organizations simultaneously.

Each copy is an original document issued by the Civil Registry with the same legal validity. If you need apostille, you can also request several apostilled copies.

Can I request someone else's certificate?+
Birth certificates are generally public, with some exceptions; in certain cases a legitimate interest must be shown. We'll confirm whether your case qualifies.
What about people born outside Spain?+
If the birth is registered with a Spanish Civil Registry (consular or Central), we can obtain it.
How long does it take?+
From a few days to 2-3 weeks depending on the Registry. Active follow-up included.
Do documents signed online have the same validity as those signed in person?+
Exactly the same. Law 11/2023 recognises the full legal validity of notarial documents executed by video call with a qualified electronic signature before a registered notary.
Do I need a digital certificate?+
Yes, to sign electronically you need a digital certificate or an electronic DNI. If you do not have one, we help you obtain it quickly before your appointment, with no additional handling fee.
Can I do it from abroad?+
Yes, the notarial video call works from any country. You only need a stable connection, your valid identity document and a digital certificate.
How much does this service cost?+
The quote includes the official notarial fees set by the Notarial Association plus our handling, fixed before you start and with no hidden costs. Request it with no obligation via WhatsApp or the form.
What if I have questions during the process?+
Our team supports you from start to finish via WhatsApp, phone or email, and the notary answers all your legal questions before signing.
