The cost of certification is regulated by official notarial tariff and depends on the number of pages:

Standard rates (per document):

  • 21-50 pages: 90 EUR
  • More than 50 pages: Inquire (approximately 1.5 EUR/additional page)

Does an online certified copy have the same validity as an in-person one?+

Yes, exactly the same legal validity. The online notarial certified copy:

  • Is performed by a licensed notary in practice
  • Carries the notary's qualified electronic signature (Law 6/2020)
  • Has full notarial public faith
  • Is recognized by all public authorities
  • Valid before courts and official bodies
  • Complies with the European eIDAS Regulation on electronic signatures

The notary's qualified electronic signature has exactly the same legal value as the handwritten signature and traditional physical seal. In fact, many authorities prefer the electronic format due to its ease of verification via CSV.

What format should the documents I send for certification be in?+

We accept documents in the following digital formats:

Preferred formats:

  • PDF: Ideal, especially if it's already an official digital document
  • Scans in JPG/JPEG: Minimum resolution 300 DPI
  • PNG: Accepted for high quality documents

Quality requirements:

  • Text completely legible without blurry areas
  • Complete document (all pages)
  • No cuts in the margins
  • Maximum file size: 50MB per document
  • If it has multiple pages, send in a single PDF file or clearly numbered

Special documents:

  • Foreign documents: Must include sworn translation if not in Spanish
  • Old or deteriorated documents: Contact us beforehand to verify feasibility

Can I certify documents for use abroad?+

Yes, we handle certifications for international use with apostille.

For countries of the Hague Convention (120+ countries):

  • We perform the notarial certification of the document
  • We handle the Ministry of Justice apostille

For countries outside the Convention:

Do I need the physical original document or is a PDF enough?+

It depends on the type of document and the use you will give to the certified copy:

You only need PDF (without physical original) when:

  • The original document is already digital (e.g.: electronically signed contract)
  • You have a prior certified copy or certified electronic copy
  • It's a document issued by a public authority in digital format
  • The final submission will be electronic (doesn't require paper)

You need the physical original when:

  • The document has special value (noble titles, securities)
  • The destination specifically requires "copy of physical original"
  • The document has security elements (holograms, watermarks)
  • You will need sealed physical certified copies on paper

Process with physical original:

  • You can send it by certified courier to our address
  • The notary certifies it in person

How many certified copies can I request of the same document?+

As many as you need. There is no limit on the number of certifications of the same document.

Volume discounts:

  • First copy: Full price according to tariff

Advantages of multiple copies:

What's the difference between a certified copy, simple copy, and authentic copy?+

They are similar concepts but with important differences:

Notarial Certified Copy (Authentic Copy):

  • Performed and certified by a licensed notary
  • Has public faith and full evidentiary validity
  • Legally equivalent to the original document
  • Accepted by any official body
  • Cost: 30-90 EUR depending on pages

Collated Copy (by official):

  • Performed by public administration official
  • Only valid before that specific authority
  • Does not have notarial public faith
  • Not accepted in courts or other authorities
  • Cost: Generally free

Simple Copy:

  • Uncertified photocopy
  • No legal evidentiary validity
  • Only informative
  • Not accepted in official procedures
  • Cost: Minimal

Certified Copy vs Collation: If you need universal legal validity, always notarial certified copy. If you're only submitting to one authority and they accept collation, it may be sufficient. For companies, we recommend notarial certified copies for their universality.

Does the certified copy expire or have a validity date?+

Notarial certified copies do not automatically expire, but their practical validity depends on the context:

Legal validity of the certified copy:

  • The certified copy certifies that on the date of issuance, the copy was faithful to the original
  • This certification has no legal expiration
  • The notary attests to a past fact that remains true

Practical limitations by bodies:

  • Public tenders: Usually require certified copies less than 6 months old
  • Banks: Frequently request less than 3 months
  • Registries: Generally accept certified copies of any date
  • Courts: Usually don't limit age

Important:

  • If the original document has changed, the old certified copy no longer represents current reality
  • Example: Certified copy of bylaws prior to an amendment doesn't reflect current bylaws
  • Always verify the specific requirements of the receiving body

We recommend requesting certified copies when you need them, not too far in advance, unless it's for archiving.

Do you offer certification service for very old or deteriorated documents?+

Yes, we can certify old documents as long as they are legible and recognizable.

Accepted old documents:

  • Historical deeds (old incorporations, transfers)
  • Contracts from decades past
  • Old professional degrees
  • Historical business documents

Requirements for deteriorated documents:

  • Text must be completely legible
  • Seals and signatures must be identifiable
  • If there are illegible parts, the notary will note this in the certification

Is it valid for a public tender?+
